Who we are
The Third Field is a practice in relational intelligence. Terroir Trails is its setting in wine country. Both are offered by Second Humanity LLC, a California limited liability company based in Healdsburg, California (“we”, “us”).
This policy covers:
- thethirdfield.com and terroirtrails.com;
- the private portal at terroirtrails.com, where participants write Reflections and read their documents;
- the emails we send.
It explains what personal information we collect, why, who else handles it, how long we keep it, and the choices you have.
The short version is our promise before you begin, which every participant sees before writing. This policy is the full detail behind it. Where the two ever seem to differ, the promise you were shown is the one we keep, and we will correct this policy.
What we collect
When you contact us
- Inquiries: When you inquire through either site, we collect your name and email address, what you are interested in, the size of your group, when you are thinking of coming, and whatever you choose to tell us about the occasion.
- The brochure: When you ask for the brochure, we collect your name, your email address and, if you add it, a note about your plans.
- The newsletter: When you subscribe on thethirdfield.com, we collect your email address.
Please send only what belongs in an inquiry. Do not send another person’s private story through a public form.
When you take part
If you join a Circle, a Couples Map or a Team Map, you write a Reflection in the private portal. We collect:
- Your answers: These are your written answers and the options you choose. By their nature they may include things about your relationships, your work, your family, your faith, your health or difficult times in your life. You decide what to write, and any question can be skipped.
- The choices you make: These include who may see each answer (with your name, without your name, or the Director only); whether you allow AI assistance; whether you want to keep your delivered documents; and your corrections to your own page.
- Your consents: We keep a record of each consent you give, with the date, the version of the text you agreed to, and your internet (IP) address and browser type.
- Age verification: Your answer to “Are you eighteen or older?” (Couples and Team Maps). No date of birth is collected.
- Safety answers: Before the questions, we ask whether you feel free to take part and whether anyone could see your answers. If an answer suggests you may be at risk, or may not be free to take part, we pause and the Director contacts you privately, in the way you choose.
- Post-engagement feedback: Anything you tell us afterwards, such as feedback on your day.
When someone arranges an engagement
The person who arranges an engagement may give us the names and email addresses of the people they invite, so that we can send each person their own private invitation. That person may be a host, an organizer or an employer.
For a day in wine country, a host may also give us dietary and mobility needs, health notes that matter for the day (for example, a guest who does not drink), and an emergency contact and a day-of telephone number. We store those health notes and emergency contacts in encrypted form. They are used only to make the day safe and comfortable.
The person who arranged or paid for an engagement never sees your answers, and cannot consent on your behalf.
When you pay
Payments are made on pages hosted by our payment processor, Stripe. Stripe collects your card details. We never see or store them. Stripe tells us who paid, what was bought and the amount.
Automatically
- One cookie: When you sign in to the portal, we set a single cookie, tt_session, to keep you signed in. It is strictly necessary, and it expires within a day.
- No tracking: We use no advertising, analytics or tracking cookies, and no tracking pixels. thethirdfield.com sets no cookies at all.
- Local browser storage: Your browser keeps a copy of your answers while you write. It holds your in-progress Reflection so that nothing is lost if your connection drops. This copy is cleared when you submit. If you are using a shared device and stop before submitting, close the tab and clear the site’s data, or finish on a device only you use.
- Security records: To keep the service secure and prevent abuse, our systems record your IP address briefly to limit repeated form submissions, and your IP address alongside the time in our security and consent records.
For our own business outreach
We sometimes research and contact businesses, such as hotels, that may wish to offer our experiences. For this we keep business contact details (a person’s name, role, firm and business email or telephone), taken from public sources or given to us in the course of business. This is kept apart from anything participants write.
How we use it
We use personal information to:
- reply to inquiries and brochure requests, and send the brochure;
- send the newsletter you asked for;
- arrange and run the experiences and documents you ask for (invitations, your Reflection, your own Folio or private reading, the shared Map, Dossier or Circle page, the working agreement and the Return);
- look after participants’ safety and wellbeing;
- keep the service secure, prevent abuse and keep records of consent;
- meet our legal obligations, and establish or defend legal claims;
- contact businesses about offering our experiences.
What we do not do:
- We do not sell personal information.
- We do not share it for advertising.
- We do not use it to build profiles of you for any purpose other than the document you asked for.
- We do not score people, sort them into types, or make automated decisions about anyone. A Director decides and signs everything a participant receives.
AI assistance
AI assistance is off unless you allow it. You are asked on your Reflection, and it is a separate choice from taking part.
- If you leave it unticked, no AI service reads anything you wrote.
- For a Circle or a Couples Map, if anyone in the group does not allow it, no AI service reads anything the group wrote.
- For a Team Map, if you leave this unticked, you still take part fully, and no AI service reads anything you wrote. The Director reads your Reflection and writes your Folio by hand. If enough of your team allows AI assistance, the shared Map will be drafted with AI help using their Reflections. Anything you choose to share with the team will be added to the final Map by the Director, entirely by hand.
If you do allow it:
- Direct identifiers are removed first. Your name, your contact details and the names of the people taking part are removed or replaced with letters before the AI service reads anything. Answers marked “prefer not to answer” are removed.
- Secure routing. The service is Anthropic. We reach it through a private gateway on our Cloudflare account, with gateway logging switched off.
- No training. Your words are not used for training. Under Anthropic’s commercial terms, they are never used to train AI models. Anthropic deletes what it receives within 30 days, except where its terms allow it to keep a request longer, for example one flagged as breaching its usage policies.
- Human review. Nothing reaches a person unchecked. Nothing the AI service drafts reaches anyone until a Director has checked every sentence against what was actually written and signed it. You read your own page first, and your corrections stand.
AI in our own business research: We also use Anthropic to help research businesses for our own outreach, from public information about the business and the contact person. No participant’s information is ever used for this.
Who else sees it
The other people taking part see only what you chose to share with them, answer by answer. Before anything is shared, you see every line proposed under your name, and you can keep, change or remove it. Even without names, a theme can be recognizable in a small group. Other participants can also save a document they receive.
The Director assigned to your engagement reads what you wrote in a form that identifies you. Confidential is not anonymous: the Director knows who wrote what.
Hosts and organizers:
- A host sees only whether each guest has completed their Reflection, never the answers.
- A gift-giver learns only that the gift was redeemed.
- The person or employer who paid for a Map receives the Map, never the Reflections.
Team Maps and employment: A Team Map describes how a team works together, never how any one person performs. It is a relational reading, not a performance evaluation. The employer or organization that commissions a Team Map agrees, in its terms of engagement, that it shall not be used in any decision regarding employment, promotion, compensation, or discipline.
Service providers: These companies process information for us, under their own terms, only to provide their service:
- Cloudflare: Hosts terroirtrails.com and the portal, and stores the data
- Vercel: Hosts thethirdfield.com
- Resend: Sends our emails, and holds the newsletter list
- Anthropic: AI assistance, only as described above
- Stripe: Payments
- Microsoft: The Director’s own email
The law: We may disclose information if the law requires it, or to protect someone’s safety.
A change of ownership: If the business is transferred, the information would pass to the new owner under this policy.
How long we keep it

Your choices and rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it;
- delete it;
- stop using it for a purpose you previously agreed to (for example, AI assistance, or keeping your delivered documents).
Where to ask: Write to Hello@TheThirdField.com or Concierge@TerroirTrails.com. We will confirm that the request comes from you before acting, normally by replying to the email address we hold for you. Within the portal, you can change your choices yourself until your Reflection is submitted, and your retention choice until deletion.
Some limits apply: Withdrawing a permission stops it being used in anything not yet written, and we will rewrite or withdraw a document that already carries it. It cannot recall a copy someone else has already saved. We may also keep what the law requires us to keep, such as payment records or consent logs.
California residents have the rights described above under California law, including the right to know, delete, correct, and the right not to be discriminated against for using these rights. We do not sell or share personal information for advertising, so there is nothing to opt out of. We use sensitive information only to provide the service you asked for.

Age
Our experiences and documents are strictly for adults. Every Reflection begins by asking whether you are eighteen or older. If the answer is no, we stop, and we delete the answers and raw inputs from that session immediately. We keep only a note that the seat was stopped so that we can tell the person who arranged it.
We do not knowingly collect information from anyone under eighteen. If we learn that we have, we delete it immediately.
Security
How we protect what you write:
- Reflections and sensitive notes are encrypted in our database.
- Access to the portal uses single-use sign-in links, not passwords.
- Directors can see only the engagements assigned to them.
- AI assistance runs through a private gateway with logging off.
No system is perfectly secure. If a breach affects you, we will tell you as the law requires.
Where it is processed
Our providers process information in the United States and may do so in other countries. By using the service from outside the United States, you understand that your information will be processed there.
Changes
If we change this policy, we will post the new version here with its date. If the change is significant, we will tell participants whose information we hold before it takes effect.
